Switch from POP3 to IMAP for your email

Learn why it is worth switching from POP3 to IMAP and how to do it without losing important emails.

Introduction

If you still use POP3 for email, you may already have seen messages disappearing, folders not syncing or mail only showing on one device.

IMAP is the more practical option for most users because it keeps email on the server and syncs changes across devices.

Why IMAP is usually better

With IMAP, what you do on one device is reflected on the others. If you read or delete a message on your phone, the same change appears in webmail and on your computer.

Its main advantages are:

  1. Sync across phone, computer, tablet and webmail.
  2. Shared Sent, Trash and Archive folders.
  3. Lower risk of losing mail if a device fails.
  4. Easier access from different locations.

How to switch safely

  1. Confirm that the current account is set up as POP3.
  2. Back up the downloaded messages, especially local folders.
  3. Do not remove the old POP3 account yet.
  4. Add the same mailbox again, but choose IMAP this time.
  5. Use:
IMAP server: mail.yourdomain.com
IMAP port: 993
Security: SSL/TLS
SMTP server: mail.yourdomain.com
SMTP port: 465 or 587
Username: your full email address
  1. Test both receiving and sending.
  2. Copy any important local mail back into the IMAP account if needed.

Conclusion

IMAP is the recommended choice for most users because it gives you synchronization, better organization and less risk of local-only loss. If you are moving from POP3, always make a backup first.
